4.01 4.1 SERVICES\Stored Tech—Microsoft 365 Business Licenses—Below State Contract—4-1-2024 RESOLUTION AUTHORIZING ENGAGEMENT OF STORED TECHNOLOGY SOLUTIONS, INC. FOR SERVICES RELATED TO TRANSITION TO AND PURCHASE OF MICROSOFT 365 BUSINESS PREMIUM LICENSES AND DATTO SAAS PROTECTION RESOLUTION NO.: 12024 INTRODUCED BY: WHO MOVED ITS ADOPTION SECONDED BY: WHEREAS, by Resolution No.: 31,2022, the Queensbury Town Board authorized a five (5) year extension of the Agreement between the Town of Queensbury and Stored Technology Solutions, Inc., (StoredTech) for the continued provision of professional information technology services, and WHEREAS, Stored Tech has offered its professional services related to the Town's transition to Microsoft 365 Business Premium and Datto SaaS Protection for an amount of $2,565, plus $2,596 monthly, as set forth in Stored Tech's proposal presented at this meeting, NOW, THEREFORE, BE IT RESOLVED, that the Queensbury Town Board hereby authorizes and directs the engagement of Stored Tech for professional services in relation to the Town's transition to Microsoft 365 Business Premium and Datto SaaS Protection for an amount of$2,565, plus $2,596 monthly, as set forth in Stored Tech's proposal substantially in the form presented at this meeting and authorizes and directs the Town Supervisor to sign any needed documentation, with the purchase and services to be paid from the appropriate accounts as may be determined by the Town Budget Officer, and BE IT FURTHER, RESOLVED, that the Town Board further authorizes and directs the Town Budget Officer to make any adjustments and prepare any documentation necessary to provide for payment, and BE IT FURTHER, RESOLVED, that the Town Board further authorizes and directs the Town Supervisor, and/or Town Budget Officer to take such other and further actions as may be necessary to effectuate the terms of this Resolution. I would like to highlight the benefits of Microsoft 365 Business Premium for the Town of Queensbury compared to the New York State OGS (Office of General Services) contract licensing. 1. Comprehensive Suite of Tools: v Microsoft 365 Business Premium offers a robust suite of productivity tools, Including Microsoft Office applications, Teams, SharePoint, and OneDrive. These integrated tools enhance collaboration, streamline communication, and improve overall efficiency within our organization. o In contrast, the OGS contract may provide limited access to specific Microsoft products, potentially hindering our ability to work seamlessly across different platforms. 2. Advanced Cyberthreat Protection: o Security is paramount for any government entity. Microsoft 365 Business Premium includes advanced threat protection features such as Microsoft Defender for Office 365 and Azure Information Protection. These tools safeguard our data, detect, and prevent cyber threats, and ensure compliance with privacy regulations. o The GIGS contract may not offer the same level of comprehensive security features, leaving us vulnerable to potential cyberattacks. 3. Device Management Capabilities: o Managing devices across our municipality efficiently is crucial. Microsoft 365 Business Premium provides integrated device management through Microsoft Intune. We can enforce security policies, manage updates, and ensure compliance across all devices. a The OGS contract lacks centralized device management capabilities, which could lead to Inconsistencies and security gaps. 4. Predictive End-User Support: © Recent studies have shown that organizations with comprehensive adoption of Microsoft 365 technology can enable their IT teams to deliver proactive and predictive end-user support. o The OGS contract does not inherently provide the same level of proactive support, potentially leading to longer resolution times for user issues, S. Flexibility and Scalability: a Microsoft 365 Business Premium allows us to scale our licensing based on our needs. As our municipality grows or changes, we can easily adjust our licenses without major disruptions. o The OGS contract may have limitations in terms of scalability and flexibility, especially if our requirements evolve overtime. StoredTech is proposing the Town of Queensbury Microsoft 365 Business Premium at a percentage discount from the current commercial pricing to be below the multiply components needed from NYS OGS contract, to meet the necessary security requirements within Microsoft 365 Business Premium.
