BasicsThe Town of Queensbury is using new software to allow public access too many of the
Town’s documents on-line. We are using Laserfiche software from Compulink
Management Center in order to do this. The Records staff of the Town Clerks office
uses the software to organize its electronic documents and make them available
through the web.
You don’t normally need a password to view meeting minutes, but if you see the
username and password prompt, the Username is: public and the Password is: public.
If you are being prompted for a password, it may be because there is a ten user license
limit on the Laserfiche software used to access the information. Laserfiche is the
software the Town uses to organize its documents (minutes, agendas, etc.) and make
them available through the web. A license is used each time someone opens a session
on the Laserfiche system. If the session goes for twenty minutes without activity the
session is logged off automatically and the license is released. You can help by clicking
on the Logout button when you are done with your session to release it immediately.
If you try to access the documents when all those licenses were in use you will be
jumped to the login screen, normally if you wait a few minutes, a session will end and
you will be able to log in. Since this is a new system, we are still trying to find the right
balance between the number of users who access the system and the number of
licenses we need.
Using the Laserfiche Software
The toolbar at the top of the document window is used to help you manipulate the
documents in the system. By default the software tries to open the document at a
resolution that displays as much of the document as possible on your screen. Use the
Zoom in tool to size the document closer to what the original size is. Click on the +
(plus sign) in the tool bar or click on the down arrow to select a size (circled in red
below).
The closer you get to the original size (100%), the clearer the document will become,
but the longer it will take to display and the more scrolling you will need to do to see the
document on your screen.
To move to other pages in the document, click on the Previous Page or Next Page
arrows, or type the new page number and click the Go button.
To view an entire document such as a set of minutes, the best method is to click on the
Download to PDF icon (circled in red below). This will create an Adobe PDF document
and download all the pages of the minutes and open the Adobe Acrobat Reader on your
local machine. You can then view, print or save the entire document on your machine
using your Adobe Acrobat Reader.
