3.03 3.3 FINANCIAL/2020/Purchase—Meadowbrook Pump Station Repair-Lowest of 2 Quotes—From Fund Balances-4-20-2020 RESOLUTION AUTHORIZING REFURBISHMENT OF PUMP #1 AT MEADOWBROOK ROAD PUMP STATION FROM DOTY MACHINE WORKS • RESOLUTION NO.: ,2020 INTRODUCED BY: WHO MOVED ITS ADOPTION SECONDED BY: WHEREAS, the Queensbury Wastewater Director has advised that it is necessary to refurbish Pump#1 at the Meadowbrook Road Pump Station(mechanism), and WHEREAS, the Wastewater Director requested and received quotes for such mechanism and the lowest quote is from Doty Machine Works dated 13 Apr 20 in the amount of $9,070 for basic repairs plus an additional budgetary cost of $6,000 for unforeseen repairs, for a total cost not to exceed$15,070, NOW,THEREFORE, BE IT RESOLVED, that the Queensbury Town Board hereby authorizes the refurbishment of Pump #1 at the Meadowbrook Road Pump Station by Doty Machine Works in accordance with its quote dated 13 Apr 20 presented at this meeting in the amount of$9,070 for basic repairs plus an additional budgetary cost of$6,000 for unforeseen repairs for a total cost not to exceed $15,070, to be paid from Account No.: 036-8120-4800 ($5,426) and Account No.: 032-8120-4800 ($9,644), and BE IT FURTHER, RESOLVED, that the Town Board hereby authorizes the Town Budget Officer to take all actions necessary to amend the Town Budget and effectuate the transfers of$5,426 from Fund #36 Route 9 Sanitary Sewer Undesignated Fund Balance to Account No.: 036- 8120-4800 and $9,644 from Fund #32 Queensbury Consolidated Sanitary Sewer Undesignated Fund Balance to Account No.: 032-8120-4800, for a total of$15,070, to fund such work, and BE IT FURTHER, RESOLVED, that the Town Board further authorizes and directs the Town Supervisor to sign any needed documentation, and the Town Supervisor, Town Wastewater Director and/or Budget Officer to take such other and further action as may be necessary to effectuate the terms of this Resolution. The internal wear and damage o pump components cannotbe de.ermined without the disassembl and visual inspection of the components.These components include:shaft, shaft sleeve, impelle < frame, bearing covers.wear ring, deflector, wear plate and back plate Components found damaged or worn during the disassembly of the pump will be quoted separately.All work will be done at our facility during the hours of 0700 to 1530 on normal work days.This quotation does not include overtime, holiday or weekend labor. Pump will be washed and disinfected by the customer prior to the delivery to our facility. Pump will be disassembled. Internal and external components will be cleaned. Painted surfaces will be media blasted. Internal components will be solvent cleaned. The pump components will be inspected. This will include bearing fits and shaft run-out. Pictures will be taken of the pump components during the inspection.The customer will be notified of damage or wear that goes beyond the scope of a basic repair.A firm quotation for the repair or fabrication of components not deemed basic repair parts is not possible without the components being inspected. For budgetary purposes only, it is assumed the cost to repair/fabricate these items will not exceed $6,000.00.This budgetary cost is in addition to the repair cost below. The impeller and shaft will be balanced. Pump will be assembled using Doty supplied new parts that will include: mechanical seal, bearings, lip seals, 0-ring, impeller key, bearing nut, and bearing washer. Pump will be coated on previously painted surfaces. The volute will be inspected at Doty Machine.The customer will be notified of the findings of the inspection.All work on the volute will be quoted separately due to the unknown nature of the repair needed. The mechanical seal vendor has stated lead time for seal will be advised. Lead time will be determined ARO.
